  1. 01 / 09 · Intake

    A new client, and the clocks start themselves.

    The intake wizard captures the date of loss, the parties and the carriers, and runs a conflict check. From the date of loss it sets the statute of limitations under the post-HB 837 rules and the PIP 14-day treatment window.

    The case folder is created in your taxonomy, and the HIPAA authorization goes out for e-signature.

  2. 02 / 09 · Opening letters

    627, PIP and preservation letters are drafted the same day.

    From the crash report and the client's declarations page, InjuryMcGee drafts a § 627.4137 disclosure request for each liability carrier, the PIP notice and any preservation letters, and sets the thirty-day follow-up.

  3. 03 / 09 · Inbox

    Mail, faxes and e-service land in the right file.

    Each incoming document is read, classified and matched to one client using name, date of birth, claim number and date of loss. Anything it is not sure about waits in Needs Review with the likely candidates.

  4. 04 / 09 · Records

    Records and bills are requested and chased until they arrive.

    One combined request per provider, with a HIPAA authorization that has been checked for signature and date. Follow-ups go out on a three-step cadence; the board shows what is outstanding and for how long.

  5. 05 / 09 · Chronology

    The medical chronology writes itself, with page cites.

    As records arrive, each visit is summarized with its date, provider, findings and the page it came from. Gaps in treatment and providers without records are flagged.

  6. 06 / 09 · Damages

    Billed, paid and LOP, on one HB 837-aware ledger.

    Bills become ledger lines with their payment basis. Liens are registered as soon as they are known. The LOP disclosures § 768.0427 requires go on the demand checklist.

    Who's involved: Case manager and bookkeeper keep it current; ambiguous postings are held.

  7. 07 / 09 · Demand

    The demand is drafted in your style and checked before you see it.

    The draft pulls from the chronology, ledger, liens and 627 limits. Pre-send checks confirm every provider is covered, the specials add up, the limits match and no other client's name or an SSN appears anywhere.

    Who's involved: Attorney only. The attorney sets the figure and approves the exact text.

  8. 08 / 09 · Litigation

    If it goes into suit, the deadlines come from the rules.

    Served papers and court orders are read on arrival. Deadlines are proposed with the rule and the day they rolled from, then pushed to Google Calendar once a paralegal confirms. The county docket is watched for new entries.

  9. 09 / 09 · Closing

    The closing statement ties to the ledger.

    At settlement, the closing statement draws the fee, costs and reduced liens from the case, so it is checked against the ledger rather than rebuilt by hand. Releases, lien payoffs and disbursement stay with your firm and its trust account.

    Who's involved: Attorney approves; the client signs.
