Module 10 · Money & liens
Costs, damages and liens on one ledger.
Case costs, an HB 837 damages ledger and a lien register, reconciled to the closing statement.
The problem
Why it's hard today
Since HB 837, what was billed and what was paid tell different stories, and letters of protection carry disclosure duties under § 768.0427. A spreadsheet per case cannot keep up.
Liens surface late, usually at disbursement, when every day of delay is a call from the client.
How it works
4 steps, start to finish
- 1
Bills become ledger lines
Billed, paid, adjustments and payment basis (PIP, health insurance, Medicare, Medicaid, LOP) per provider.
- 2
Liens registered early
Medicare, Medicaid, ERISA, hospital and LOP liens are opened as soon as they are known, with status and contacts.
- 3
Costs posted
Invoices are posted to the case cost sheet; anything ambiguous is held for a person.
- 4
Closing statement
The settlement statement draws from the ledger and lien register, so the math is checked rather than rebuilt.
Approval: Postings are reviewable; reduction letters and the closing statement require attorney approval.
Questions
Money & liens: FAQ
Does it calculate the HB 837 medical damages limits?
It shows billed and paid side by side and the reference amounts the statute points to. The attorney decides how to present damages.
Is this trust accounting software?
No. It prepares settlement figures and supporting records. Your trust account and bookkeeping stay where they are.
Can bookkeepers use it?
Yes. Staff seats are included, and permissions keep the ledger editable only by the roles you choose.
