Settlement & closing

Reduced liens, a correct closing statement, a reconciled trust ledger.

Lien triage and reductions on a set timing, a closing statement for each client in English or Spanish, fee tiers, prior counsel and a trust ledger.

Protects money: The fee tier, every cost and every lien are checked before the client signs the closing statement.

The problem

Why it's hard today

Settlement is when the money questions arrive at once: which liens are real, what the hospital will accept, which fee tier applies, what prior counsel is owed. Each one is a phone call and a spreadsheet.

A closing statement that leaves a bill unpaid without asking the right questions, or takes prior counsel's fee from the wrong side, is a Bar problem, not a typo.

How it works

4 steps, start to finish

  1. 1

    Triage every unpaid bill

Before a closing statement can leave a bill unpaid, three questions are answered: could a county hospital lien exist, did Medicaid ever pay, is there an LOP or assignment. An unanswered one blocks the statement.

  2. 2

    Reduce on a set timing

Reduction letters follow a playbook: the request, two follow-ups, a written deadline and one final extension. § 768.76 letters put Medicare, Medicaid and plan vendors on notice.

  3. 3

    Fees and prior counsel

The fee tier comes from whether an answer is on file and from your retainer's own words. A discharged firm's charging lien is shown as a client cost, disclosed in writing.

  4. 4

    Closing statement and trust

One statement per client, in the language of their retainer, with costs itemized and liens in their own section. The trust ledger shows cash held per client and reconciles to the bank.

Approval: Reduction letters, § 768.76 letters and the closing statement sent for signature wait in the approval queue. The software never pays or disburses anything.

Questions

Settlement & closing: FAQ

Does it move money or connect to our bank?

No. The trust ledger records the entries your firm makes and reconciles them to the bank balance you enter. Checks and disbursements stay with your firm.

Why does the trust ledger show checks not cashed?

A zero client balance can hide a check the client never cashed. Each ledger shows the book balance plus outstanding checks, so the cash actually held for the matter is visible.

Can it close out a lien the provider never answered?

Only after the playbook has run, with the client's written informed consent on file and a complete triage. The close-out letter still waits for approval.

Does it handle letters about prior counsel?

Yes. It drafts a charging-lien letter to successor counsel and, before suit only, a discharge letter that opens with the limitations warning. Both wait in the approval queue.

Start with one case. Keep the queue.

Open the sample firm and approve a records request, or set up your own workspace in a few minutes. Your firm signs our BAA in the app before any client records go in.
